Our well renowned client within the construction sector based in Jet Park is looking for a well groomed Receptionist to be the first point of contact for all customers, visitors and senior officials entering their company. This position is responsible for ensuring that the image of the company is maintained at all times by acting as a public relations representative. This position will assist the executive secretary in the co-ordination of meetings and clerical activities, which includes the compilation of reports, placing of orders on the requisition system as well as the co-ordination of deliveries by the company driver. When required, this position will relieve the executive secretary in instances of absence or leave. This position will therefore require experience and capability with regards to fulfilling secretarial functions. Duties & Responsibilities: Front desk management o Appropriately and professionally welcome all visitors and employees. o Responsible for assisting employees and management with faxing, emailing and courier of documents and parcels o Handle any perceived risk situations appropriately by escalating the situation to the correct level of management o Ensure all literature at the reception area is kept up to date and all electronic advertising media is functioning at all times o Ensure the reception area is kept neat and tidy at all times o Operate the telephone and switchboard system o Ensure the switchboard system is fully functional by escalating issues timeously o Operate the telephone and switchboard system
• Clerical and Administration duties o Place orders on the procurement system for approval and ensure documentation is correct and authorised before processing o Assist the executive secretary with administration duties o Where required assist with compiling word, powerpoint and excel documents o Ensure kitchen stock levels are maintained by placing orders when required o Handle all incoming and outgoing faxes, letters and correspondence o Ensure the company driver delivers documents when required o Assists with the collection of post as well as ensure all incoming mail is signed for and collected o Ensure all deliveries to reception is documented and signed for o Ensure meeting rooms are correctly allocated for meetings
• Other duties o Act as a replacement for the Executive Secretary in instances of absence and leave o Compile ad hoc reports when required o Assist with catering for functions when required o Assist with the smooth running of the corporate office Academic Qualifications:
• Grade 12
• Secretarial qualification
• Post grade 12 qualification an added advantage Experience:
• At least 5 years’ experience as a receptionist or related customer facing role in a large organization
• Previous experience as a Secretary or Personal Assistant
• Intermediate computer skills with the ability to work on Microsoft Power Point, Word and Excel
